Globally Edit Products

To Globally Edit Products

Go To: Tools > Administration > Database Management > Global Edits

This will bring up your Global Edit Options

Click on the Globally Edit Products button

This will bring you into the Find Product for Global Editing Screen.

Within this screen there are three Global Edit buttons.

1. Global Edit - changes item fields of your choice

2. Retail Global Edit - changes Retail Price

3. Reserve stock - globally changes available for sale stock to reserve stock for specified reserve stock code

1. Global Edit

Enter in the search criteria to find the products you'd like to make edits to.

  • e.g. publisher X has been acquired by publisher Y and you need to change the publisher data to reflect that.
  • set up your search criteria to find all products with publisher X

Once you've run your search, you can either edit all of the products in the list or you can highlight a select few and edit those.

  • Click on the Global Edit button to make changes to all of the search results.
  • If you don't want to change all of the search results, go through and highlight the ones you do want to change, then click on the Global Edit button

If your search returned a large list of items you may see an initial prompt alerting you that the entire list has not been populated, and ask you if you'd like to populate the entire list or no.

  • Choosing No will bring you to the Update All or Selected Only Prompt
  • Choosing Yes, will populate the entire list.

From the Update All or Selected Only Prompt, you will be asked if you would like to globally edit all of the items displayed in the Search Results or just globally edit the selected items.

  • Clicking on the All button will begin the process to globally edit the whole list
  • Clicking on Selected will begin the process to globally edit the item's you've selected

A new window will pop up where you will select the properties you want to globally edit.

In the case of changing the Publisher to a new name, we will check the box next to Publisher/Manufacturer

Click on the Next - Enter new values for fields selected button

  • from this same screen you also have the option to quit the process by clicking on the Quit - exit the global editing process button

Now you will select the new Publisher/Manufacturer  (Example below shows updating the ACTIVE Flag)

Once you've selected the new Publisher/Manufacturer and you're satisfied click on the Next - Update records selected button

  • you also have the option of going back a screen by clicking on the Previous - select fields to update button or the option to quit the process by clicking on the Quit - exit the global editing process button.

The Proceed with global update? prompt will appear, making sure you want to go ahead with the global update.

Click on Yes

You get another window prompt letting you know the update is complete and asking if you'd like to refresh your search results.

Choose Yes or No and your items are globally edited.

2. Retail Global Edit - Within the Global Product Edit there also a way to globally edit retail price

  • Run your search, highlight your desired products.
  • Click on the Retail Global Edit button.
  • The Global Edit - Retail window will appear
  • In the Choose Record you wish to update section, select whether to Change All Items on List or Change Only Selected Items
  • In the Retail Change Options section you have three choices for how to apply a change to the retail price.
    • Change by a Percent
      • when selected you have two fields to fill out
      • Sell for % off Retail - enter in your percentage off
      • Round Price up to - selected from the drop down
    • Change by a Dollar Amount
      • when selected you have two fields to fill out
      • the first field is a drop down, select either Add or Subtract
      • the second field is the Dollar Amount you want to either add or subtract from the current retail price
    • Apply a Fixed Price
      • Enter in the new fixed price
  • Click on the Apply Retail Changes button once you have properly filled out the Change Option
  • A prompt will appear asking if you'd like to continue with changes
  • Click on Yes
  • Your Global Edits have been made

3. Reserve Stock

  • Run your search, highlight your desired products.
  • Click on the Reserve Stock button.
  • The Global Reserve Stock window will appear
  • In the Choose Record you wish to update section, select whether to Change All Items on List or Change Only Selected Items
  • Next select the Reserve Stock list you want
  • Click on the Apply to Reserve Stock button
  • A prompt will appear letting you know the Reserve Stock update is complete
  • Click OK

 *** BELOW SHOWS EXAMPLE OF FINISHING A GLOBAL EDIT, THE HIGHLIGHTED PRODUCTS WILL TURN FROM YELLOW TO GREEN WHEN THE GLOBAL EDIT IS COMPLETE. ***

The other option for Globally Editing Product details is to use the Globally Edit Products without review option in the Global Edit Menu.

This works much the same as Globally Edit Products, but there are no search results to review. It is a slightly blind global edit, but in our instance above where you are changing a publisher name from X to Y, this would be a completely appropriate option to use
