Tendering Cash
To Complete the sale for a cash transaction:
- Click on the Cash button in the POS Buttons bar at the right of the POS screen,
- A small Amount box appears in the upper left of the screen.
- Key in the amount the customer tendered and press Enter.
- If the customer gives you the exact amount, the sale ends.
- The End-of-Sale box appears.
- If the customer gives you more than the exact amount, the change due will display on the screen.
- The box with four choices appears. Likely, you will give the customer his or her change and select Next Sale.
iMerchant Tips

You can use a decimal but do not have to. If you do not, be sure to use trailing zeroes.
- For example, if you don't include a decimal, $15.00 would be entered "1500."
- If the customer gives you the exact amount,
- You can leave the Amount box blank and press Enter.
- The Amount box will automatically fill in with the exact amount for the sale.
Tendering Credit Cards
To Complete the sale for a credit card transaction:
- Click on the Credit Card button in the POS Buttons Bar
- A small box appears in the upper left of the screen.
- There are three fields within the box.
- The first field asks for a swipe of the card or the card number.
- Swipe the card.
- If you cannot, key in the number and enter the expiration date in the Expiration Date field.
- iMerchant will encrypt and mask credit card numbers for security reasons.
- If the credit card fails--i.e., it is not authorized (for example, if your connection is down at the moment)
- a message box will display telling you that the credit card authorization system is unavailable.
- You can still accept the card as a tender, though, by clicking on Yes at the bottom of the message box.
- If you click on No, the customer will need to pay with another card, or another form of tender.
- Be aware, accepting a card in this way means you may not get paid.
- The card will need to be manually authorized later, and if it fails then, you have no way of getting paid.
- To manually authorize the card(s) later, go to the Credit Cards Not Authorized program.
- If security has been activated for accepting unauthorized credit cards at the POS
- You will be prompted to enter the appropriate password before proceeding
- The Amount field automatically defaults to the sale amount. Only change this if necessary.
- Press Enter.
- The first field asks for a swipe of the card or the card number.
- The End-of-Sale box appears
Tendering Checks
To Complete the sale for a check transaction.
- Press F10 (the Check shortcut key) on your keyboard.
- A small Amount box appears in the upper left of the screen.
- The exact amount of the sale defaults in the box.
- For example, if the sale is for $15.85, "15.85" will appear in the Amount box.
- If the customer wants to write the check amount to be more than the sale amount (i.e., wants cash back), simply delete the default amount and key in the amount on the check.
- Your store administrator will have set up a parameter to determine whether or not and by how much a customer can write a check for more than the sale amount.
- If the system is set up to request the customer's drivers license number
- A message will appear in the Amount box.
- Depending on how the store administrator set the parameters, you may be required to enter the customer's drivers license number.
- If you are not required, you can leave the field blank and press Enter.
- If you are required and try to bypass it, the system will stop you.
- If your terminal is set up to have the check face print automatically, the screen will issue a prompt.
- Simply follow the prompt to print the check face.
- Validate the check when required by store policy. Follow the screen prompts.
- At the end of the transaction, the End-of-Sale box appears.
Tendering Debit Cards
To Complete the sale for a debit card transaction as follows...
- Press F12 the Debit Card shortcut key.
- A small box appears in the upper left of the screen.
- There are three fields within the box:
- The first field asks for a swipe of the card or the card number.
- Swipe the card.
- If you cannot, key in the number and enter the expiration date in the Expiration Date field.
- iMerchant will encrypt and mask card numbers for security reasons.
- The Amount field automatically defaults to the sale amount.
- Only change this if necessary (i.e., if the customer wants cash back).
- Press Enter.
- The customer is prompted to enter his or her PIN on the PIN pad.
- Once the Pin is entered, the End-of-Sale box appears.
Tendering Foreign Exchange
To Complete the sale for a foreign-exchange transaction:
- Click on the Tenders Menu at the bottom right of the POS screen
- Select Foreign Exchange
- A small box appears in the upper left of the screen with a list of all defined foreign exchanges in your [i] Merchant system.
- Select the appropriate one.
- If it is not on the list, you cannot take the currency being offered.
- You might later tell your system administrator to define that currency so it can be taken the next time.
- Once you select a particular foreign currency from the list, an Amount box appears.
- In the Amount field, the system will automatically list the amount of the selected foreign currency needed to pay for the entire transaction.
- If the customer gives you a different amount
- Key in that amount of foreign currency in the Amount box.
- When keying in, you can use a decimal but do not have to. For example, if a customer gives you eight British pounds, you can enter "800". The decimals are assumed.
- After entering the amount (or accepting the system's full-price default value), press Enter.
- On the lower portion of the screen, the system will convert the foreign currency to dollars and display, in dollars, any change due the customer.
- Once the sale ends, the End-of-Sale box appears
Tendering Gift Cards
To Complete the sale for a GIVEX or GSAR gift card:
- Click on the Tenders button at the lower right of the POS screen
- Select Gift Card from the menu.
- A small box appears in the upper left of the screen.
- There are two fields within the box:
- The first field asks for a swipe of the card or the card number.
- Swipe the card.
- If you can't, key in the number.
- The Amount field automatically defaults to the sale amount. Only change this if necessary.
- Press Enter.
- The first field asks for a swipe of the card or the card number.
- If there is enough money on the gift card to cover the cost of the transaction
- The End-of-Sale box appears
- If there is NOT enough money on the gift card to cover the cost of the transaction
- A message will display on the POS screen
- The message will display how much money is actually on the gift card, take note of this value.
- At this time, no money from the gift card will have been applied to this sale.
- You need to restart tendering the sale.
To apply the remaining amount of the gift card to the transaction:
- Click on the Gift Card button at the lower right of the POS screen once again.
- Swipe the card.
- In the Amount field, key in the amount remaining on the card (you took note of this amount in the previous step)
- Press Enter to complete the gift card portion of the transaction.
- Finish the transaction by taking another form of tender from the customer to cover the balance of the remaining cost.
Tendering Simple Tenders
Simple tenders are defined by your store administrator.
They may include things such as store dollars or store gift certificates without a system-kept balance.
To Complete the sale for a Simple tender:
- Press F7 the Simple shortcut key
- A small box appears in the upper left of the screen.
- In this box, there is a list of all the Simple tenders available.
- Select the appropriate one.
- Once you select the appropriate Simple tender, a second box appears.
- The fields in this box depend on the Simple tender being used.
- Some Simple tender boxes may have just an Account Number and an Amount field.
- Other Simple tenders may have an additional field prompting for the customer's age or drivers license.
- It depends on how the store administrator set up the particular Simple tender.
- Fill the fields in with the appropriate information and press Enter.
- If you leave the Amount field blank and press Enter while the cursor is in that field, the exact dollar amount of the transaction will automatically appear in the field.
- Complete the transaction.
- The End-of-Sale box appears
Tendering A/R Tender
To complete a sale for an Accounts Receivable transaction:
- Press F3 (the Accounts Receivable shortcut key) on your keyboard
- If the store administrator has placed Accounts Receivable on the POS Buttons bar press that
- A small box appears in the upper left of the screen. There are two fields within the box.
- If the customer has an activated authorizes user attached to his or her account
- The Authorized User Finder will automatically appear, and you will need to select the appropriate authorized user from the list in order to proceed with the transaction.
- The first field asks for the account number.
- If the A/R tender can be swiped or scanned, go ahead and do that
- The account number will fill in automatically.
- If you cannot scan or swipe the A/R tender, key in the account number.
- If the A/R tender cannot be swiped or scanned and you don't know the account number
- Click on the Look Up Account button at the bottom of the Accounts Receivable box.
- This brings up the Find Account window.
- If the account you enter or select is not on file, a message saying that will appear on the screen, stopping the transaction.
- Enter a search criterion and find the account you need.
- Select it by double-clicking on it
- If the A/R tender can be swiped or scanned, go ahead and do that
- The Amount field automatically defaults to the sale amount if the sale amount is less than the A/R balance.
- If the sale amount is more than the A/R balance, the Amount field defaults to the A/R balance remaining.
- If this happens, the customer will need to complete the transaction by using another tender.
- Only change this if necessary.
- Press Enter.
- The End-of-Sale box appears with six choices presented: Next Sale (the default), Print Receipt Again, Print Receipt on Slip, Print Invoice, Gift Receipt, and Gift Receipt on Slip.
