Click on the Author button in the NavBar

This brings you to the FInd Author screen.

Here you can search by anything related to the Author ID, First Name, Last Name, Short Name, and Typical Role

Within Author Properties you can maintain your author database.

  • You can add, delete, and edit the authors in this database

Note: The Short Name field needs to be unique among Authors. The Short Name is a specific tag for an Author. When doing a search throughout the system for an Author, you can key in the Author's Short Name, and the system will recognize it immediately.

The field Typical Role (code driven) - Is a category within which to place the Author.

  • For many Authors, you would likely use a Typical Role = Author.
  • But you can set this field to whatever you want.

If you want to create a new Author record that is very similar to an existing record, you can use the Save As option.

To use the Save As option:

  • Locate an Author in the Find Author window.
  • Go to Author Properties and change the field or fields you want, making sure you alter the Short Name field.
  • Once you have changed the applicable fields,
  • On the Menu Bar go to
    • File > Save As
  • The new Author record is created.
  • Close the Author Properties window.
  • The new record will be highlighted at the bottom of the grid within the Find Author window.

You can create notes for each Author.

  • Click on the Notes button at the top of the Author Properties window

When all of the fields in Author Properties are set the way you want.

Click on the Close button. You will be prompted to Save, select Yes
