The Tender Accounts program allows you to locate tender accounts on your system
- the accounts saved by iMerchant, using the Balance Card and Accounts Receivable tender types.
You can run searches based on various criteria to find the information on any tender account in your system.
Once you have called up the account (or accounts) you want
You can further drill down and view the history of the transactions for that specific account number.
To access the Tender Accounts program:
- From the iMerchant Main Menu
- Choose Modules > Point of Sale >Tender Accounts.
- This calls up the Find Tender Accounts screen.
- On this screen, run a search to find the list of tender accounts you want to view.
- Once you run the search, a list of matching tender accounts will appear in the grid at the lower portion of the screen.
- View the list, checking the relevant information for each of the accounts.
View History of Tender Accounts
If you want to view the history of any of the accounts
Highlight the desired row
Click on the History toolbar button near the top of the screen.
The Find Tender Balance History window appears, with a search criterion defaulted to Customer.
The applicable transactions will display in the window.
If you wish to run a new search, using new search criteria, you can do that.
When you are ready to view the history of a transaction displayed in the window, double-click on it
The POS Review window appears, with the specific POS information for the just-selected transaction.
The two other toolbar buttons to take note of back at the Find Tender Accounts screen are:
Rewards: When you click on Rewards, the find customer rewards screen will appear for the applicable customer.
Adjustment Function
Lastly, there is an Adjustment function in Tender Accounts.
- With a specific tender account highlighted
- Choose Edit > Adjustment
- This opens the Adjustments window for whatever type of tender you selected
The fields in this Adjustment window.
Name: the customer's name appears.
- If for some reason you need to change the name here, you can, as long as you have security access to do so.
Account #: shows the account number.
- This can be changed, if desired.
Balance: The remaining balance will appear.
- This will be grayed out, and can only be changed by clicking on the Adjust toolbar icon at the top of the window.
- This opens the Adjust window.
- Key in the new balance in the Balance field.
- The Adjustment field will fill in automatically, and, if you do change the balance here, you will need to key in a reason in the Reason field.
- Click on Apply to accept the change
- Or click on Cancel to back out without accepting the change.
Back at the Adjustment window, the value in the Balance field will now reflect the change you just made.
- Of course, you may only do this if you have security access permission.
Opened: lists the date that the tender account was opened. This can be altered, if desired.
Closed/Expired date: lists the date that the tender account was closed or expired.
Scan ID: will be filled in, and can be changed.
Active: is a check box field.
- Checked = the account will remain active.
- Unchecked = the account will no longer be active and cannot be used at the POS.
