Entering Items to be Sold

There is more than one way to enter items to be sold.

 

By Scanning a Barcode

The majority of the time you will scan the barcode of an item.

The top portion of the screen (gray portion) fills in with information for the item you just scanned.

The product number displays, as does the quantity and price.

The quantity will increase by 1 every time you scan the same item.

  • Note: After scanning an item, if you need to change any information about it (price, Discount Code, Tax Code, etc.)
    • You need to press Enter first.
    • This puts you in Edit mode.
    • At this point, make any changes you need to make.

Some items may be non-tracked inventory with no retail price on file.

  • Non-tracked products are essentially products for which you do not want the system to keep track of onhand amounts.
  • If a product is tagged as non-tracked, the system will prevent you from entering an onhand quantity or a cost value.
  • For more information on how to tag a product as non-tracked inventory, you can read about the Accounting Category parameter in the Code-Driven Fields document. 

If this is the case, once scanned in, the Price will be blank, and you will need to hand-key in a retail price.

If an item is automatically placed on sale via a Sales Promotion code

The sale price will come in automatically, though the regular (before-sale) price will also display.

If there is a discount automatically attached to the item, it will display in the Discount % box.

There may be times when an item is on sale via a Sales Promotion as well as discounted further via a Customer Discount.

If this occurs, the system will automatically calculate the final selling price.

You can select a Discount Code if necessary.

  • Note: If security has been activated for this function, you will be prompted to enter the appropriate password before proceeding.

The Tax Code field, Tax Area link, and Sale Type link generally can be ignored.

  • Note: If security has been activated for the Tax Code or Tax Area functions, you will be prompted to enter the appropriate password before proceeding.
  • If you need to select a value for any of them
  • Click on the binocular icon to the right of the Tax Code field
  • Click on the Tax Area link or Sale Type link.
  • The Find screen will display.
  • Choose whatever you want from the table and press Enter
  • You will be returned to the POS, and the value you selected will appear on the screen
    • either inside the Tax Code field or to the right of the Tax Area or Sale Type link.
  • Note: When at the Find screen, if you do not want to select anything, click on the Close button. You will be returned to the POS with nothing selected.

This top portion of the screen (gray portion) lists the above information for the most recently scanned or entered item.

Underneath this, in the bottom portion of the screen, there is a running tally of every item scanned or entered during the current sale.

As you continue to scan different items, the list of items at the bottom of the screen grows.

It is an itemized list, so you can see each item, line by line.

If you need to select an already scanned item (an item on the bottom of the screen),

Click on it.

The item will reappear at the top of the screen (gray portion).

At this point, you can change any of the sale information you need

  • perhaps you need to add or correct a discount, change the sale price, etc.
  • Simply change what needs to be changed and then scan the next item, as you normally would.
  • Note: If security has been activated for the Discount or Modifying Price functions, you will be prompted to enter the appropriate password before proceeding.

 

By Finding an Item

If you cannot scan an item, you can still select it. This can be done in one of three ways.

  • Press F2 (the Find Product shortcut key),
  • or click on the Find Menu button to open the POS Find Menu
  • Click on the Find Product button
  • This puts the POS screen into Find Product mode.

If you know the product number (ISBN):

  • Enter it in the Product box (far left box in gray portion of the screen) and press Enter.
  • The item immediately displays on the screen, as though you had scanned it.
  • If you need to go into Edit mode, simply press Enter again and make any necessary changes.

If you don't know the product number:

  • Key in either the whole title or part of the title for the desired product, and press Enter.
  • The Find Product screen appears.
  • The first Find Product By field will be set to Description and whatever you keyed in at the POS screen will display under it.
  • Click on the Find button at the right of the screen.
  • A list of matches will display on the bottom of the screen.
  • Double-click on the match you want  
  • You will be brought back to the POS
  • The item you selected will be listed in the top portion (gray portion) of the screen.

Continue entering items for the sale, either by finding them or scanning them.

Anytime you want to change any information for a selected item (in gray portion of the screen)l

Press Enter on your keyboard to put the POS into Edit mode.
