The Database Utilities programs should be run after running an import, or several import utilities.

Import utilities do minimal editing, and can result in parts of the database needing to be cleaned out or corrected.

The following programs should be run with the help of a Computac Customer Service representative.

To access the Database Utilities programs:

Tools >Administration >Database Maintenance >Database Utilities.

The Data Base Utilities box will appear, with the following selections available.

Author Title Sequence Checker: will number the authors on a product to ensure that there is not a duplicate sequence number.

• A duplicate sequence number on the primary author will make the product item appear twice in Find screen grids.

Vendor Product Sequence Checker: will number the vendors on a product so that there is not a duplicate sequence number.

• A duplicate sequence number on the vendor of record will make the product item appear twice in Find screen grids and cause Purchasing problems.

Validate Next Available Numbers: will make sure that the next available number table is in sync with the actual records on file.

List Products: will list the database tables of products that have missing dependencies.

• When a dependency is missing, the product will not appear in the Find programs when running a Search.
• Pieces of the product are still on file and can cause problems in the database.

Repair Incomplete Products: will delete the rows in error that are listed by the List Products that are an incomplete function, above.

Zero Costs: for items without inventory, examines the products in your system and sets the Cost to zero for items with an onhand of less than 1 but that still have a Cost attached to them.

Refresh Credit Card Encryption Key: will generate a new encryption key that will be used for new credit card transactions.

• Unauthorized credit cards remain encrypted on the system until they are authorized or deleted.
• When changing the encryption key, the system allows for a grace period for the transactions encoded with the previous encryption key.
• You are required to refresh your credit card encryption key at least once per year.

Clear Used 'Buy in Process' condition: applies to the Used Book module.

• The Buy in Process condition will be cleared for all items currently listed as such.
• Use this with caution. Only use it if you are sure that the used book lot in question is in fact 100% complete.
