Reserve Stock

The Reserved Stock feature allows you to set aside, or "reserve," a portion of a product's onhand quantity.

When products are reserved in this way, they still count toward the overall onhand amount in your inventory, but the reserved products will be subtracted from the Available for Sale quantity.

Products set aside in this fashion are reserved, only to be sold for specified occasions defined here in the Reserved Stock program.

By utilizing this feature, your onhand amounts will be equal Reserved quantities + Available for Sale quantities.

Reserved Stock can be used for a number of reasons:

  • Products set aside for a book fair or some other offsite event.
  • Products lent to an employee or customer.
  • Products that should not be sold until some specified future date.

To add products to Reserved Stock

Go To: Modules > Reserved Stock > Add to Product Reserved Stock.

This brings up the Add to Product Reserved Stock window.

Select the product you want

  • Once you select a product, click on the Add/Update icon at the top of the window. This adds the just-selected product into Reserve for the Reserved Stock Code you just chose or created. Notice that three new fields appear at this point.

  • The most effective way to go about reserving products is to scan them into the Product field one at a time.
  • Select a Reserved Stock Code or create a new one.
    • Codes and descriptions should make sense to you. For example, if you are creating a Reserved Stock Code for a book fair, the Code may be BF, and the Description, "Book Fair."
  • Once you've scanned the product and selected a Reserve Stock code click on the Add/Update button
  • This adds the product to reserved stock and brings you to a new section within the window
  • This is where you will fill in the reserved quantity
    • Reserved Quantity automatically fills in with a 1.
    • You can change this number if you want, either by scanning the product again or by manually keying in a new amount here.
    • The Last Updated and Create Date fields are automatically filled in with the current date.
    • The Last Updated field will automatically update itself as necessary.
  • Enter your reserve quantity and click on the Save button
  • Your product is now Reserved, and you have a fresh window to scan the next product.
    • Notice your Reserved Stock Code remains filled in

When you create Reserved Stock Codes and add products to these codes you need to let the POS know which products are in Reserve using the POS Sale Type function. This will allow you to easily report on sales at the event you are reserving stock for.

Go To:  Tools > Parameters > POS Sale Type

The Find POS Sale Type window appears.

  • Either select an existing POS Sale Type or create a new one
  • The POS Sale Type window will pop up.
  • When you check the Sell from Product Reserved Stock box, the Product Reserved Stock field will open up
  • Select the Reserved Stock Code you want to assign to this POS Sale Type.
  • Assigning the Reserve Stock Code to a POS Sale Type will tell POS to subtract from the Reserved Stock amount (as opposed to the Available for Sale amount) for all products included within this Reserved Stock Code.

If you leave this field unchecked, no products attached with this POS Sale Type will be sold through the Reserve Stock.

When your event is over, you will probably want to return the remaining stock into your stores Available for Sale quantinty

To Return products from Reserve Stock

The quickest way to remove all items from a Reserve Stock list is from the Reserve Stock Finder

Go To: Modules > Reserved Stock > Reserved Stock Finder

  • You can either search for your list by Reserve Description or Code
  • Or you can search All
  • Highlight all of the products you would like to remove from reserve stock
  • Click on the Remove button on the Task Bar
  • A verification prompt will pop up, click on Yes
  • All items selected have had their Reserve Stock removed

The more methodical method is to use the Return From Product Reserved Stock

Go To:  Modules > Reserved Stock > Return From Product Reserved Stock.

This calls up the Return from Product Reserved Stock window.

This works exactly the same as the Add to Product Reserve Stock window.

  • Scan or enter your product to be returned, add the Reserve Stock code, and click on the Add/Update button
  • This parts a little tricky, when you click on Add/Update, it automatically removes 1 item from Reserved Quantity. If you want to remove more, you will enter an amount in the Reserved Quantity field.
  • BUT the amount entered into the Reserved Quantity field represent the amount amount that you want to remain in Reserved Stock
  • If you do not want the product to be reserved anymore, key in a zero.
